Offer Description

To assist the Project Manager in the successful delivery of the project CONNECTS-UK (CONNecting European Communities Through Science in UK), the first pan-EU platform in the UK aimed at fostering research and scientific collaborations between the EU and the UK. This project is currently led by a network of eight volunteer-led associations of European researchers in the UK.

The role holder will provide administrative support to the CONNECTS-UK project and its governance body, including project timeframe management, organising events (including venue/catering booking, speaker invitations, and event communication) and travel arrangements, coordination of accounting tasks and preparing communications for various media channels.

We offer flexible working hours and the IT equipment for delivering the activities included in the project. This is a remote working-from-home role that will require attendance at some in-person events.

Contract: Remote (UK resident) (5-10% travel)

Hours of work: 100% time / 1 FTE

Salary range: £28,000 - £36,000 according to experience

STANDARD RESPONSIBILITIES

The position will be responsible for coordinating and supporting CONNECTS-UK project, including, but not limited to:

  • Provide support to the CONNECTS-UK governance body and its project manager with focus on handling office tasks (including scheduling meetings, taking meeting notes, distributing papers, generating reports and presentations), event planning and management , and arranging travel, catering and hospitality as required. 
  • Act as a main contact point for CONNECTS-UK, communicating with multiple internal and external stakeholders. Monitor generic or shared email boxes and respond to general queries. 
  • Oversee and ensure delivery of external and internal communications of CONNECTS-UK, including the coordination and content development of press releases, email communications, newsletters, website, dissemination materials and social media posts. 
  • Build and monitor budgets, process invoices, track receipts, input expenses and other basic bookkeeping tasks. 
  • Organise, assist, and publicise medium to large-size events and workshops: liaise with venues, caterers, registrations, speakers, delegates, sponsors and media contacts. 
  • Support and implement outreach and dissemination initiatives for CONNECTS-UK towards various target audiences such as fellow academics and researchers, policymakers and government institutions,  children via Native Scientists, the public and the media. 

Additional Responsibilities

  • Assist the project manager as necessary to ensure that the project reporting needs are appropriately met.
  • Create and maintain relevant spreadsheets and databases, e.g. events and activities, financial records, and project outputs.
  • Maintain accurate financial records and audit trails using appropriate methods.
  • Liaise with the governance body to determine expenditure requests, make decisions on smaller amounts, and/or make recommendations on large amounts for approval.

RELEVANT EXPERIENCE, SKILLS AND KNOWLEDGE

Essential

  • Proven extensive work experience in a relevant role, demonstrating knowledge and practice in general administrative tasks and management of medium to large-size events.      
  • Exceptional organisational skills and ability to follow procedures accurately and timely.
  • Proven experience making travel, catering and hospitality arrangements.
  • Proven experience in the field of internal and external communication, both in content generation and communication systems (e.g. press, website, community management, mailing, high-quality content design, event promotion or marketing)
  • Excellent computer literacy (e.g., General office systems, WordPress, Twitter, Slack, Hootsuite, Trello, Mailchimp, Adobe Suite, Microsoft Office, video/animation production, etc.)



Desirable

  • Experience managing budgets
  • An empathy and understanding of the policy, higher education and research as well as non-profit sectors (professional experience in one or more is highly desirable).

 

RELEVANT QUALIFICATIONS

Essential

  • Qualified to A level or vocational qualifications (NVQ 3-4, level 3-4 business apprenticeship) or equivalent, plus significant work experience as administrative assistant or similar roles.

 

COMMUNICATION AND INTERPERSONAL SKILLS

Essential

  • Excellent Customer Service Skills
  • Superior communication and presentation skills in English.

  • Willing to travel nationally (UK) to attend network meetings or events (nine expected events for the programme duration).
  • Availability to accommodate some important online meetings out-of-working hours (e.g. 17:00 – 20:00 UK time) or attend events during weekends.
  • Right to work in the UK and registered freelancer in the UK (self-employed) by the contract starting date.
