OFFER DESCRIPTION
Summary:
This is a 6 months (renewable) part-time Project Administrator role: working closely with the Principal Investigator, Dr. Silvia De Zordo (Universitat de Barcelona – Dept. of Anthropology), with Opir (International Research Projects Office), and with the ERC (European Research Council),the post holder will be responsible for the daily operational, administrative and financial support for the project.
You will be part of a research team based at the University of Barcelona-UB (Host Institution – see job Description for details).
Your principal duties will be: planning/monitoring project budgets; maintaining records of project information and documentation and managing the storage and back-up of key data, liaising with Project Partners; managing travel and other research and dissemination-related activities as needed; managing the project’s calendar, the travels/meetings’ agenda and the project website. The PI may also ask you to undertake other tasks, including translations, printing and shipping material, if allowed by your working schedule.
Description:
You will need to be detailed-orientated and confident working with spreadsheets, web-based administrative and finance systems, and a multi-media, multi-lingual website; be meticulous and well-organised. Because of the time-sensitive nature of travel arrangements and research deadlines, it is essential that these tasks are completed effectively and timely, including responding to emails, following up on unresolved issues, booking hotels or flights, etc., promptly to secure best rates, and keeping excellent financial and administrative records. You will be working within the PI and the team, which will rely on your management of the project. Because the Project Administrator will be self-managing a varied workload with competing priorities, it is important to deal calmly with difficult or pressured situations and prioritise the tasks to meet deadlines. This might call for the need to be flexible to reorganise the workload at short notice to accommodate any changing priorities within the team. In general, Dr. De Zordo, the PI, will indicate which tasks are of highest priority.
The ability to interact positively and to communicate clearly and effectively with the research team members as well as with Opir and the ERC, with a commitment to providing a high standard of service, is essential.
Your principal duties and responsibilities will be:
- Plan and monitor the project budgets and ensure all expenditure and procedures around contracts are processed efficiently through the University’s finance system.
- Keep excellent financial and administrative records that can be accessed by the PI and Opir at any time.
- Manage the project’s calendar and the travels/meetings’ planning/agenda.
- Manage effectively and timely travel arrangements, including responding to emails, following up on unresolved issues, booking hotels or flights. This is necessary to secure best rates.
- Respond to email communications clearly and promptly
- Maintain careful records of project information and documentation, and manage the storage and back-up of key data, liaising with Project Partners (including the University of Central Florida and Ibis Reproductive Health, based in the US).
- Manage the project website, which contains interactive elements and needs to be regularly updated.
- Maintain social media activity related to the project.
- Undertake other tasks, includingtranslations, printing and shipping material, as needed.

- Previous experience with research projects’ management/administration.
